Private Office Rental Agreement

1. Rental Rates

Private office rates are based on the number of occupants specified at booking:

The private office accommodates a maximum of 2 people. Occupancy is fixed at booking. The number of occupants listed on this agreement determines your rate for the duration of your rental. You may not bring additional people into the office beyond what is specified. If your needs change, please contact us to update your agreement and adjust your rate accordingly.

2. Payment and Deposit

How you pay depends on your rental length. Short rentals are paid in full at booking. Long-term rentals (3+ weeks or 2+ months) collect a deposit at booking and then bill recurring periods automatically as your rental progresses.

Daily Rentals (1–4 days)

Full amount due at booking. Bookings of 5 or more days use the weekly or monthly rates below.

Weekly Rentals

• 1–2 weeks (5–14 weekdays): Full amount due at booking.
• 3+ weeks (15+ weekdays): A deposit equal to 2 weeks is collected at booking ($600 for 1 person, $800 for 2 people). Your first weekly period is charged on your start date, and subsequent weekly periods are charged automatically every 5 weekdays thereafter. Billing stops once the deposit covers the remainder of your rental — typically the final 2 weeks. If your booking length isn't a clean multiple of weeks, the last billed period may be a partial amount.

Monthly Rentals

• 1 month (22–43 weekdays): Full amount due at booking ($1,200 for 1 person, $1,600 for 2 people).
• 2+ months (44+ weekdays): A deposit equal to 1 month is collected at booking ($1,200 for 1 person, $1,600 for 2 people). Your first monthly period is charged on your start date, and subsequent monthly periods are charged automatically every 22 weekdays thereafter. Billing stops once the deposit covers the remainder of your rental — typically the final month. If your booking length isn't a clean multiple of months, the last billed period may be a partial amount.

3. Cancellation

You may cancel your office rental at any time, subject to the following notice requirements:

Before Your Rental Begins

Pre-start cancellations are handled automatically based on how many days remain before your start date. If you have at least the required notice remaining, your deposit (or full payment, for short rentals) is refunded in full. If you cancel with less than the required notice, the deposit is forfeited as the cancellation fee.

During Your Rental

Once your rental has started, you choose how to cancel — either with proper notice or by walking away. Your dashboard will show both options along with the resulting refund before you confirm.

Cancellation with Proper Notice

Billing continues through the notice period, and any unused portion of your deposit is refunded at the end of that period. No further charges are incurred beyond the notice period.

Cancellation without Proper Notice

Your deposit is forfeited in full. The deposit serves as payment for the notice period you did not provide. No further charges will be incurred beyond the deposit.

In all cases, the current billing period (day, week, or month) is non-refundable, as it has already been prepaid.

How to Cancel

You can cancel your rental from your dashboard at any time, or by emailing info@echotrail.io with your cancellation request. Your notice period begins on the date the cancellation is submitted.

4. What's Included

• Private, lockable office (154 sq ft)
• Sit/stand desk
• Free coffee, espresso, and sparkling water
• Free snacks
• Fast WiFi
• Access during business hours (6:00 AM – 10:00 PM, Monday–Friday)

5. Guest Policy

Office rentals are for the occupants listed on this agreement (maximum of 2). If you need to bring an additional person on occasion, the following applies:

• One guest at a time. Weekly and monthly renters may bring one guest up to 2 times per week.
• Under an hour is free. Quick drop-ins, meetings, or coffee — no charge if your guest is here less than an hour.
• Staying an hour or more? Your guest must check in and pay the coworking day rate ($20/day).
• Guests are welcome to use common coworking areas or work with you in your office for the day.
• Regular need for 3+ people? The office isn't the right fit. Please book our Collaboration Space, which seats up to 8.

This policy is meant for the occasional colleague visit — not as a way to add a regular third occupant. If guest usage becomes frequent, we'll work with you to find a better arrangement.

6. Office Rules and Expectations

• The office must be kept in reasonable condition. Any damage beyond normal wear and tear may be deducted from your deposit.
• Subleasing or sharing access with individuals not listed on this agreement is not permitted.
• Parking spaces are limited — one space per occupant listed on this agreement.
• Keep noise to a reasonable level; the office shares walls with the main coworking floor.
• Smoking or vaping on premises is prohibited.

7. Personal Property and Liability

Personal Property

EchoTrail is not responsible for loss, theft, or damage to your personal property, including but not limited to laptops, phones, bags, and other belongings. While your office has a locking door, you are advised to secure your belongings when leaving the space.

Waiver of Liability

To the fullest extent permitted by law, you release and hold harmless EchoTrail Ventures, Ltd., its owners, officers, employees, and agents from any and all claims, damages, or losses arising from your use of the facilities, including but not limited to personal injury, property damage, or theft.

8. Termination by EchoTrail

EchoTrail reserves the right to terminate this agreement with the same notice period required of the renter. Grounds for immediate termination without notice include, but are not limited to:

• Violation of this Agreement or office rules
• Harassment or threatening behavior toward other members or staff
• Illegal activity on premises
• Non-payment of rental fees
• Damage to EchoTrail property

If EchoTrail terminates your rental without cause, any unused portion of your deposit will be refunded. If termination is for cause, no refund will be provided.

9. Changes to Agreement

EchoTrail may modify this Agreement at any time. We will notify active renters of material changes at least 30 days before they take effect. Your continued rental after such changes constitutes acceptance of the modified terms.

10. Governing Law and Disputes

This Agreement shall be governed by and construed in accordance with the laws of the State of Colorado. Any disputes arising under this Agreement shall be resolved in the state or federal courts located in Jefferson County, Colorado.

11. Entire Agreement

This Agreement, together with our Terms of Service and Privacy Policy, constitutes the entire agreement between you and EchoTrail regarding your office rental. This Agreement supersedes any prior agreements or understandings, whether written or oral.
